Role Summary
Sherwood is currently seeking an Administrative Assistant to support our growing, progressive and multidisciplinary engineering firm. The successful candidate will work as an integral part of Sherwood’s global team, collaborating with engineering and operations disciplines to cocreate solutions to a variety of organizational challenges. This candidate will be asked to assist with daily support operations and create efficient administrative procedures.
We are seeking an individual who is able to provide general office support and handle administrative duties. The ability to work productively as a member of a multidisciplinary team, work independently, and develop clear, evidence-based solutions to a wide set of organizational problems are critical to the success of this role.
Minimum Skills
Typically 2+ years of professional experience in office administration
English and Spanish proficiency
Proficiency in Google Suite and Microsoft Office
Basic understanding of clerical procedures and systems (e.g. recordkeeping, filing)
Analytical skills, with excellent problem-solving and decision making capability
Excellent written and verbal, skills, capable of clearly communicating with others
Able to plan, prioritize, multi-task, work independently under general supervision
Able to maintain confidentiality and security of sensitive company and client information
Able to read and interpret written information including documents, spreadsheets, and email correspondence
Preferred Skills
Experience in a consulting environment
Experience working with pivot tables
Degree or certification in HR, Finance, Business, or related field
Expected Outcomes
Process transactions and performs accounting duties such as account maintenance and reconciliation, recording expenses
Assist with local culture and engagement initiatives, including planning and logistics
Coordinate travel arrangements of local employees
Ensure optimal use of office equipment, supplies, and inventories through preventive maintenance
Ensure procedures are followed by staff, including regular communication and follow-up with staff to meet internal company deadlines
Serve as the eyes and ears of the office, providing information, answering questions, and responding to internal requests
Review contract/price negotiations with vendors
Answer phone calls with professionalism, directing calls to appropriate personnel; scheduling appointments, signing for incoming packages, and assisting clients and other visitors
Organize and document office operations/procedures
Type reports, memos, letters and other documents as needed
Other duties as assigned
